EXCEL REPORTING FOR BUSINESSES

Excel Sales Reports and Margin Dashboards

Turn order rows into a consistent view of sales, direct costs and gross margin. Inspect the working demonstration before discussing your own reporting needs.

Discuss your report

Understand sales alongside the cost of delivering them

Sales totals alone do not show how much remains after direct costs. An Excel sales report can combine order dates, quantities, prices, discounts and unit costs so that monthly sales and gross profit follow the same source rows. This example uses one row per complete order.

Follow each total back to an order

For an invoiced order, sales are quantity × unit price × (1 − discount). Direct cost is quantity × unit cost, and gross profit is sales less direct cost. Gross margin is gross profit divided by sales. The example rounds order sales and cost to two decimal places before aggregating.

Handle cancellations and unknown costs explicitly

Cancelled orders are excluded. A missing unit cost does not mean zero cost: sales can remain visible while affected profit and margin are unavailable. Enter a confirmed zero only when zero is correct. Review input warnings before interpreting the result.

Compare months on a consistent basis

The demonstration supports 1,000 orders and a selectable six-month period. It includes monthly order counts, sales, direct costs, profit and margin, with an editable margin review target. Its fictional data contains 48 orders, of which 45 are invoiced and three cancelled.

Adapt the report to your business

A custom report starts with the columns you already record and the questions you need it to answer. Customer, product or other breakdowns can be considered in the brief, with agreed definitions, sample totals and an update process. Multiple lines per order or imports need their own design and checks.

You do not need to work in a particular industry. Tell us what data you have, what you need to understand and how often you update the report. HODASSA is led by Fábio Teixeira; scope, price, delivery date and acceptance checks are agreed before a build starts.

Questions about Excel sales reporting

Is gross profit the same as net profit?

No. This demonstration deducts direct unit costs. It excludes overhead and tax, so its gross profit is not a net-profit statement.

Does the report track unpaid invoices?

No. The supplied report uses invoiced sales and cancellations. It does not track cash collection, credit notes or inventory.

What should I send for a custom sales report?

Start with a description of your current columns, the reporting frequency and the totals or breakdowns you need. Mention your Excel version. An anonymised sample can be agreed after the initial enquiry.
