EXCEL REPORTING FOR BUSINESSES
Excel Project Cost Control and Budget Reports
Bring budgets, actual costs and remaining cost estimates into one project review. Identify which jobs need attention and which forecasts are incomplete.
Discuss your reportReview the expected final cost, not only spending to date
A project can be below budget today and still finish over budget. A useful review combines costs incurred by the reporting date with remaining purchase commitments and the work that has not yet been ordered. The definitions matter: the same cost must not appear in more than one part of the forecast.
Build a forecast without double counting
Forecast cost = actual costs + remaining open purchase orders + unplaced estimate to complete. In the first fictional project, £72,500 of actual costs, £18,500 of remaining commitments and £40,000 of unplaced work produce a £131,000 forecast. Do not enter the full original purchase order if part of it is already in actual costs.
Keep the reporting date and remaining estimates aligned
The supplied dashboard starts at 30 September 2026, and the date is editable. Valid later-dated cost records are excluded from actual costs for that cutoff. Open purchase orders and estimates to complete are manually reviewed inputs and must reflect the same reporting date.
Make incomplete forecasts visible
Missing, invalid or unmapped inputs can block results. BLOCKED means the figure is unavailable, not zero. The demonstration includes five fictional projects and 15 cost records, budget and loss warnings, and independent checks. Add new records inside its input tables; the revised workbook uses dynamic formulas.
Adapt the report to your business
A custom brief can define project identifiers, cost categories, budgets, reporting dates and the review needed for estimates to complete. We agree the calculations and checks using a sample before committing. Automatic imports, invoice-to-PO matching and multi-user processes require separate feasibility checks.
You do not need to work in a particular industry. Tell us what data you have, what you need to understand and how often you update the report. HODASSA is led by Fábio Teixeira; scope, price, delivery date and acceptance checks are agreed before a build starts.
Questions about Excel project cost control
What Excel version does the example need?
Project Cost Review uses modern dynamic-array formulas. Check that your Excel version supports them. Native Excel recalculation of this supplied edition remains unverified; the website preview shows saved demonstration values.
Can I leave an unknown remaining cost blank?
Yes, when it is unknown, leave it blank for review rather than entering zero. Zero should mean that no remaining cost exists. Incomplete inputs can withhold the forecast.
Is this only for one industry?
No. Project budgets and remaining-cost reviews can apply across businesses. The example uses fictional contractor projects to demonstrate the method; a different workflow needs an agreed brief.
